By entering any Wild Deer Events Ltd event, participants agree to the following Terms & Conditions:

1. General

• All events are organised by Wild Deer Events Ltd and operate under UKA & BTF regulations.
• Wild Deer Events Ltd holds £10 million Public Liability Insurance.
• Wild Deer Events Ltd reserves the right to refuse entry to any participant.

2. Participant Responsibility & Liability

• Participants acknowledge that they take part entirely at their own risk. Nothing in these Terms excludes or limits liability where it cannot legally be excluded. Subject to this, Wild Deer Events Ltd shall not be liable for any loss, damage or expense arising from participation in the event.
• Participants may only enter and compete if they are in good health and do so at their own risk.
• Participants should only enter events they reasonably believe they are capable of completing safely within any published cut-off times.
• Entries will not be accepted from those intending to walk the entire course unless for a walking event. Some events operate strict cut-off times.
• Participants must follow all instructions from event officials, marshals, emergency services, and medical staff throughout the event. Failure to do so may result in disqualification.
• Participants failing to meet published cut-off times may be withdrawn from the event for safety reasons and will not be entitled to a refund.

2a. Waiver & Assumption of Risk 

• By entering, participants acknowledge and accept the inherent risks associated with endurance and outdoor events, including but not limited to injury, illness, accidents, falls, wildlife, adverse weather, and varied terrain.
• Participants take part entirely at their own risk and are solely responsible for their own safety. By participating, individuals confirm they understand these risks and voluntarily choose to participate.
• Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or any liability which cannot legally be excluded. Subject to this, Wild Deer Events Ltd shall not be liable for any indirect or consequential loss arising from participation in the event.

2b. Medical Declaration & Emergency Consent

• Participants confirm they are physically fit, free from medical conditions that may endanger themselves or others, and sufficiently trained for the event.
• Participants must immediately withdraw from the event if they feel unwell or if instructed by medical personnel or event officials.
• Participants consent to receiving first aid and emergency medical treatment if required.
• Participants remain responsible for any medical or transport costs that are not covered by the NHS or other healthcare provider.
• It is the participant’s responsibility to inform event staff of any relevant medical conditions prior to the event.

3. Data & Privacy

Personal data will be processed in accordance with our Privacy Policy and applicable UK data protection legislation.

4. Entries, Transfers & Fees

• All entry fees are non-refundable.
• Entry credit may be transferred to a future event:
  • Up to 14 days before event day for trail runs, duathlons, swims, sportives, Wild Hybrid Events.
  • Up to 1 calendar month before event day for ultras and triathlons, including The Geordieman.
• Transfer, deferral and entry credit requests received after the applicable deadlines will not be accepted.
• A £5 administration fee applies for event deferrals or name changes.
• Discounts do not apply to events already on Early Bird pricing.
• Participants who are unable to attend due to injury, illness, work commitments or any other personal reason are not entitled to a refund. Participants should consider purchasing appropriate separate event cancellation insurance if desired.
• By entering the event, participants confirm they have read, understood and accepted these Terms and Conditions, including the transfer, deferral and refund deadlines.

5. Event Postponement/Cancellation

• If an event is postponed due to weather or venue issues, an alternative date will be arranged.
• No refunds will be issued where an event is postponed and an alternative date or transfer option is offered.
• If unable to attend the new date, participants may:
  • Transfer to another Wild Deer event, or
  • Defer to the same event the following year (if available), or
  • Transfer their place to another athlete (no admin fee).
• Wild Deer Events reserves the right to change the event date, venue, route or format where reasonably necessary for safety, legal, operational or other exceptional circumstances.
• Wild Deer Events Ltd shall not be liable for any cancellation, postponement or alteration caused by circumstances beyond its reasonable control, including but not limited to severe weather, flooding, fire, pandemics, government restrictions, terrorism, civil unrest, venue closure or other unforeseen events.

6. Age Requirements

• Minimum age for running events over 5km is 11 years on the day of the event.
• Minimum age for running events over 10km is 15 years on the day of the event.
• Minimum age for multisport events is 17 years on the day of the event.
• Running events 10 km and under follow UKA age rules.
• Cycling events follow British Triathlon or British Cycling age rules where applicable.

7. Race Rules

• Race numbers are non-transferable without prior approval. Competitors found using another person’s number will be disqualified and banned.
• Headphones are strictly prohibited in all cycling events, including bone-conduction headphones.
• For running events, the use of headphones is not advised but is permitted provided participants remain fully aware of their surroundings at all times and comply immediately with all instructions from event officials, marshals, emergency services, and medical personnel. Any participant who fails to follow instructions, or whose use of headphones compromises their safety or the safety of others, may be disqualified from the event.
• Prams, pushchairs, and wheelchairs are not permitted unless otherwise stated.
• Running with dogs is only permitted where the venue allows; maximum one dog per participant, on a harness and under full control. Wild Deer Events Ltd reserves the right to prohibit dogs at any event or remove participants whose dogs present a safety risk.
• Triathlon events may be changed to duathlon format if weather conditions require it.
• Wild Deer Events Ltd reserves the right to change or alter event routes at any time, including on the morning of the event, where reasonably necessary for safety, legal, environmental, operational or logistical reasons.

8. Cycling Events

• A cycling helmet must be worn at all times. Participants without a helmet will not be allowed to start.
• Participants must adhere to the Highway Code at all times.

9. Conduct & Complaints

• Any concerns should be directed to info@wilddeerevents.co.uk before, during, or after the event.

10. Photography & Media

• Participants acknowledge that photographs, video and other media may be captured during the event and may be used by Wild Deer Events Ltd and its partners for promotional, editorial and marketing purposes without further permission or compensation.

11. Prizes

• Overall winner prizes will only be awarded where there are at least 100 registered participants in the relevant event distance.
• Age-group prizes require a minimum of three finishers in the category.
• Age-group winners must email us post-event to claim their discount.
• Overall 1st, 2nd, and 3rd place finishers are not eligible for age-group discounts.

12. Equipment

• Participants are responsible for ensuring that all equipment is safe and fit for purpose. Event officials may refuse unsafe equipment.
• Certain events may require mandatory safety equipment. Participants failing to carry mandatory kit may be prevented from starting or disqualified.

13. Changes to these Terms

• Wild Deer Events Ltd reserves the right to amend these Terms and Conditions at any time. The latest version published on the event website will apply.

14. Governing Law

• These Terms and Conditions are governed by the laws of England and Wales. Any dispute arising in connection with these Terms or any Wild Deer Events Ltd event shall be subject to the exclusive jurisdiction of the courts of England and Wales.
